1. Who we are
PulseLeads.co.uk (referred to as “PulseLeads”, “we”, “us”or “our”) provides business-to-business lead-response automation services in the United Kingdom. For personal information we collect for our own business purposes, PulseLeads is the data controller. This means we decide why and how that information is used.
Contact us at info@pulseleads.co.uk. If you are contacting us about privacy, put “Data protection” in the subject line.
2. The information we may use
Depending on how you interact with us, we may process:
- Identity and contact details, such as your name, role, business name, email address and telephone number.
- Enquiry and sales information, including your messages, requirements, preferred contact method, quotation and purchase history.
- Account and configuration information, such as workflow settings, routing rules and the services you ask us to connect.
- Communications, including support requests, call notes, feedback and records of consent or objections.
- Payment and transaction information. Payment providers may process full payment-card details; we generally receive only transaction references and status information.
- Technical and usage information, such as IP address, device and browser information, security logs, page requests and cookie choices where applicable.
- Lead data processed for a client, such as a lead’s name, contact details, enquiry, timestamp and message status. Section 5 explains our role for this data.
We usually receive information directly from you, from the business that asked us to run a workflow, from connected services you authorise, or automatically when you use our website or systems.
3. Why we use information and our lawful bases
| Purpose | Typical lawful basis |
|---|---|
| Responding to an enquiry and preparing a quotation | Steps at your request before entering a contract; legitimate interests in operating our business |
| Providing, configuring and supporting the service | Performance of a contract; legitimate interests where the customer is an organisation and you are its contact |
| Billing, accounting, tax and record keeping | Performance of a contract; compliance with legal obligations |
| Keeping services secure, diagnosing faults and preventing misuse | Legitimate interests in protecting our clients, systems and business |
| Improving workflows, service quality and customer experience | Legitimate interests, using proportionate and minimised information |
| Sending marketing where permitted | Consent where required; otherwise legitimate interests subject to applicable electronic-marketing rules |
| Establishing, exercising or defending legal claims | Legitimate interests; compliance with legal obligations where applicable |
Where we rely on legitimate interests, we consider the purpose, necessity and potential effect on individuals. You may ask us for more information about this assessment. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful processing.
4. When we process a client’s lead data
A PulseLeads client normally decides why its leads’ personal information is collected and how the automated response is used. In that situation the client is the controller and we act as its processor, following documented instructions. The client is responsible for its own privacy information, lawful basis, message content and compliance with marketing and communications law.
Our service agreement or data-processing terms cover confidentiality, security, approved subprocessors, assistance with rights requests, incident support and deletion or return of data. If you received an automated message from one of our clients, contact that business first; we will support it in responding where required.
6. How long we keep information and how we protect it
We keep personal information only for as long as reasonably necessary for the purpose collected, including support, security, accounting and legal requirements. Retention depends on the type of record, our relationship, contractual commitments, limitation periods and whether a dispute exists. Core contract and financial records may generally be retained for up to six years after the relevant relationship or accounting period. Short-lived workflow logs are kept for a shorter operational period wherever practical.
We use proportionate technical and organisational measures designed to prevent unauthorised access, alteration, disclosure or loss. These may include access controls, encrypted connections, credential separation, logging, backups, supplier due diligence and incident procedures. No online system is risk-free, so we cannot promise absolute security.
7. Your data-protection rights
Subject to the law and the circumstances, you may have the right to:
- be informed about processing and obtain access to your personal information;
- correct inaccurate or incomplete information;
- request erasure or restriction of processing;
- receive certain information in a portable, machine-readable format;
- object to processing based on legitimate interests;
- object at any time to direct marketing; and
- withdraw consent where consent is the basis relied on.
These rights are not absolute. We may need to verify your identity and may retain limited information where the law permits or requires it. We aim to respond without undue delay and normally within one month.
We do not currently make decisions about people that produce legal or similarly significant effects using solely automated processing.
9. Contact, complaints and changes
